Job Description

Our long-term client, offering psychotherapy and psychological assessment services, is in need of an entry level Administrative Assistant to join their team. This is a part-time onsite role, 16 hours per week, flexible schedule, preferred workdays are Monday, Tuesday or Wednesday.

What you will do:

• Provide administrative support to several doctoral training programs
• Ensure the physical environment of the mental health clinic and student offices are clean, organized, and functioning smoothly
• Restock clinic, beverage stations, kitchens, bathrooms, and common areas
• Ensure proper operation of office equipment by completing preventive maintenance requirements; scheduling and overseeing repairs; and maintaining equipment supply inventories
• Provide staff and students with basic technical assistance
• Audit electronic client charts to confirm all documentation is current and on file
• Monitor accounts receivable through Square platform to ensure students are billing and receiving payments per clinical guidelines.
• Prepare materials and documents via Microsoft Office and Google Workspace
• Assist with managing communication platforms for staff and students

What we are looking for:

• High school diploma or equivalent
• One to two years prior office experience
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace
• Strong written and verbal communication
• Excellent organizational and time-management skills
• Friendly demeanor, ability to work collaboratively, and professionalism
• Attention to detail, ability to multitask, and willingness to learn
