We are seeking a highly organized and responsible Permanent Executive Assistant to join our dynamic team in the construction industry. This is an exciting opportunity to work in a fast-paced environment, where no two days are the same. The successful candidate will work closely with our top executives, providing administrative support and managing their day-to-day activities. This role requires a strong understanding of the construction industry, excellent communication skills, and the ability to handle confidential information with discretion.

Responsibilities:

1. Manage and coordinate schedules, appointments, and travel arrangements for executives.
2. Prepare and edit correspondence, communications, presentations, and other documents.
3. Conduct research, compile data, and prepare papers for consideration and presentation by executives.
4. File and retrieve documents and reference materials.
5. Monitor, screen, respond to and distribute incoming communications.
6. Liaise with internal staff at all levels and interact with external clients.
7. Coordinate project-based work and oversee specific projects as assigned.
8. Attend meetings, take minutes, and ensure effective communication of information.
9. Review operating practices and implement improvements where necessary.
10. Maintain a high level of professionalism and confidentiality in all tasks.

Qualifications:

1. Bachelor’s degree in Business Administration or related field.
2. Minimum of 5 years of experience as an Executive Assistant or similar role, preferably within the construction industry.
3. Strong understanding of the construction industry and its terminologies.
4. Proficient in Microsoft Office Suite (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
5. Exceptional interpersonal skills and a professional demeanor.
6. Excellent verbal and written communication skills.
7. Ability to prioritize tasks and to delegate them when appropriate.
8. High level of discretion and confidentiality.
9. Ability to work under pressure and meet tight deadlines.
10. Strong problem-solving skills and ability to make decisions quickly.
11. Proven ability to handle multiple tasks simultaneously.
12. Strong attention to detail and organizational skills.
13. Ability to work independently and as part of a team.
