Bilingual Surgery Scheduler/Front Desk Receptionist - Full-Time Position

Job Description: We are seeking a mature, motivated, and well-organized bilingual Surgery Scheduler/Front Desk Receptionist to join our team. The ideal candidate will be responsible for providing excellent customer service, managing patient scheduling, and ensuring smooth front desk operations. This role involves coordinating surgical appointments, verifying patient information and insurance, and communicating effectively with both English and Spanish-speaking patients.

This is a full-time position, making it an ideal opportunity for those looking to balance work with personal commitments. The majority of the role (75-80%) will focus on scheduling surgeries and appointments, while the remaining time will be spent on front desk responsibilities such as answering phones, making appointments, preparing for the next day, and verifying insurance. We are looking for someone who is reliable, detail-oriented, and capable of handling a busy front desk with professionalism and care. You will be an integral part of the team, ensuring patients’ appointments are scheduled efficiently while maintaining high levels of patient satisfaction.

Job Hours/Shift:

  • 38-40 hours per week
  • Monday to Thursday: 8:00 AM - 4:30 PM (30-minute lunch break)
  • Friday: 8:00 AM - 2:00 PM (30-minute lunch break)
  • No weekends or call.

Key Responsibilities:

  • Surgery Scheduling: Schedule surgeries and procedures based on physician availability and patient needs. Ensure all required documentation and pre-surgery instructions are provided to patients. Verify insurance and pre-certify procedures for all patients to ensure coverage and smooth processing.
  • Front Desk Reception: Greet and assist patients in a friendly, professional manner. Answer phones, handle inquiries, and direct patients to appropriate staff members.
  • Patient Coordination: Communicate with patients regarding their appointment times, cancellations, and rescheduling. Ensure accurate patient records and information are maintained.
  • Insurance Verification: Verify patient insurance coverage and obtain pre-authorizations as necessary for surgery or other procedures.
  • Administrative Tasks: Handle patient check-in/check-out, collect copays, and update patient records in the system. Maintain organized surgery schedules and ensure timely follow-up with patients.
  • Bilingual Communication: Provide effective communication in both English and Spanish to ensure understanding of medical information, appointments, and instructions for non-English speaking patients.
  • Compliance: Ensure compliance with HIPAA regulations and maintain patient confidentiality at all times.

Required Qualifications:

  • High school diploma or equivalent required; additional education or certification in medical office administration is a plus.
  • 2+ years of experience in a medical office, preferably in a surgery scheduling or front desk role.
  • Bilingual fluency in English and Spanish is required (both written and spoken).
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent customer service and communication skills.
  • Proficient in Microsoft Office and experience with medical scheduling software is preferred.
  • Knowledge of insurance verification and authorization processes is a plus.
  • The ideal candidate should live within a 30-45 minute commute of our office, recognize the importance of reliability and timeliness, and must be flexible with their approach and have a "can-do" attitude.

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Occasional lifting of up to 15 pounds.
  • Ability to interact with patients and staff in person and on the phone.
  • Pushing wheelchairs to assist patients as needed.
